SmartFilter Keeps Active Database Trim
Thanks to reality TV, hoarding, or keeping stuff around for too long, can be a real problem in our homes.
Hoarding in your EDI/HQ™ Active database can be hurting the performance of your EDI solution as well.
It’s important to know when it is time to move transaction sets from your Active database to your Archive database. Lots of old data in your Active database will slow down the performance of your EDI system. The first step in managing this is to take a census of what is in your database.
Just by creating a new SmartFilter you can start this process. Looking at the Date Imported tab, you can see counts for This Month, Last Month, Current Half Year, Previous Half Year, This Year, and Last Year. Getting a count by these time periods will give you a handle of the volume of transactions flowing through your system. Next you have to consider how long you need these transactions in the Active database. Considerations may include: “How long of a period do you get requests from trading partners to troubleshoot transactions?”, “What reports am I running from the Active database based on time period?”, and “What are the requirements of my Company information retention policies?”.
With this information, you can decide how many months of EDI data to keep in the active database and how often you need to perform a move of transactions from Active database to the Archive database.
Your 1 EDI Source Consultant can assist you with any of these steps from helping with the data census, deciding how much data to keep, and right through to creating a filter to select the transactions to archive in the Active database and a process that can use that filter and automate the move from the Active database to the Archive database.
